Towbook Element: QuickBooks Integration

If you use QuickBooks as your financial software, Towbook can integrate with both QuickBooks Online and QuickBooks Desktop versions to help facilitate a smooth transfer of your financial data.
Benefits of the QuickBooks/Towbook integration
This integration was built with you in mind, allowing you to further close the gap between Towbook and your accounting software, improving efficiency and communication between the two systems.
With this integration, you'll be able to:
- Individually or mass push invoices to QuickBooks.
- Push payments to QuickBooks, allowing you to track what's paid and what isn't.
- Track invoices per account from Towbook via Quickbooks customers; you can also create customers in Quickbooks and sync them to accounts in Towbook.
- Sync rates between Towbook and QuickBooks.
- Choose how and when you want invoices and payments sent to QuickBooks (Available for QuickBooks Online only).
Connecting to your QuickBooks account
Depending on the version of QuickBooks your company is using, there will be different activation methods.
QuickBooks Desktop
Connecting with QuickBooks Desktop will require a screen-sharing session with our team.

QuickBooks Online
QuickBooks Online can be self-managed, and you can activate this when you're ready!
- Click on the 'Settings' tab in the web application
- Select 'QuickBooks Setup'
- Click on the 'Connect to QuickBooks' button and sign in as the admin; please accept any additional prompts at this time.
- Go back to 'Settings' → 'QuickBooks Setup' in Towbook
- Choose when to push your invoices and payments: 'Immediately', 'Manually', or 'After 24 Hours'
- Under 'Default Income Account', choose the correct income account for your company.
- Click on 'Save Changes'

Link Towbook/QuickBooks Online Accounts

- Click on the 'Settings' tab in the web application
- Select 'QuickBooks Setup'
- Click on 'Associate Accounts'
- Select the drop-down menu under 'Choose a Towbook Account' and choose a Towbook account.
- Under 'Choose the Quickbooks Customer to link', select the corresponding QuickBooks account to associate with your Towbook account.
- Once both accounts are chosen, click 'Create Link'
- Continue linking the rest of your Towbook accounts this way.
- You are also able to create additional Towbook accounts and QuickBooks customers this way as well.

Charging Sales Tax in Towbook & QuickBooks
If you have a tax rate set up in Towbook, you'll want to ensure that the percentage and tax item name(s) match in both programs.
Where can you push invoices to QuickBooks in Towbook?
- In the 'Dispatching' tab → click on a call → click on the 'More' option, and select 'Push to QuickBooks'
- In the 'Accounts' tab → click on an account → select a call, and click 'Push to QuickBooks'
- Mass push calls using our 'Call Workflow' report ('Reports' → 'Dispatching Reports' → 'Call Workflow')
- Mass push calls that have already been paid using our 'Payment Verification' report ('Reports' → 'Financial Reports' → 'Payment Verification')
The 'Payment Verification' report is especially useful in situations where you may push an invoice today, but not receive payment until some point in the future; you'll be able to access this report to ensure a call is re-pushed once it has been paid.

Customizable Options
There are additional ways you can customize your QuickBooks integration with Towbook:
- Push Payments to QuickBooks
- Prevent Towbook from adding to the 'Item' list in QuickBooks
- Prevent call notes from pushing to the QuickBooks invoice
- Prevent dispatchers from pushing to QuickBooks
- Identify invoices by (choose one option): Towbook Call Number Prefixed with a "T" (We recommend this option), Invoice Number, PO# or Call number if PO# field is empty, PO# or Invoice # if PO# box is empty
